Your file storage options at Kent

Staff and students: this page outlines your options for storing data and files with recommendations for when each should be used.

The document below provides an overview of the storage solutions available to you. It explains: 

  • the  suitability of each solution for personal, sensitive and confidential data
  • how it can be managed and shared 
  • how to connect to it
  • its size limitations.

Online file storage

Three Microsoft 365 apps - OneDrive, Teams and SharePoint - offer a secure way to store and organise documents and to collaborate online with colleagues, students and peers inside and outside the University.

OneDrive for Business

OneDrive is your online individual file storage area while at Kent, with 1TB of space:

  • access it online from any device
  • access it easily from campus PCs
  • download the app to your mobile or laptop.

Share files with anyone at Kent (staff and students) by sending them a private link only they can use. If you allow others to edit a document, you can see when each version was changed and who changed it.

Microsoft Teams

Shared space for conversations, file storage and teamwork.

Teams offers much more than online chat and video calling, it's a space to collaborate on files. It's perfect for group and team working.

Files you share in a private or group chat within Teams are only shared with the people in that conversation and can be found in the “Files” tab at the top of the chat. You can also find them in your OneDrive for Business folder, because that is where they are actually stored.    

SharePoint (for staff and research postgraduates)

SharePoint 2013 is a staff intranet to store files and share content. 

SharePoint Online will be available to all staff in Summer Term 2021, and will eventually fully replace SharePoint 2013.

University network folders

Stored securely on the Kent network. Easy access from any staff PC or student PC on campus. To access your files from off campus, use the VPN to connect the Kent network.
