Student Ambassador FAQs

Here you will find answers to the questions we are asked most frequently by Student Ambassadors.

If you need to contact us about a specific work opportunity, contact details should be included on the relevant work opportunity notes on the HEAT Ambassador Portal.  For general ambassador queries, or if you are unsure who to contact, please email us at outreach@kent.ac.uk

The Student Ambassador team are based in the Registry building on the Canterbury Campus.  If you would like to come and see us, please email outreach@kent.ac.uk or call 01227 824149 to make an appointment.  Our office is staffed from 08:30-16:00 Monday to Friday.

If you need to cancel work, you can email the relevant team to let them know.  If in doubt, email outreach@kent.ac.uk and we can pass the message on to the appropriate team.  If the event you were due to work is within 5 working days, you should contact us by telephone to let us know you can no longer work (01227 824149), in line with the Ambassador Expectations of Behaviour.  This way, we can try and find an ambassador to replace you as soon as possible.

The HEAT Ambassador Portal can be accessed via ap.heat.ac.uk

To request a new password, please click on the “forgotten your password” link available on the “Login” page of the Ambassador Portal and follow the instructions sent to you by email.

Timesheets need to be submitted on your HEAT Ambassador Portal after you have worked.  To do this, go to the “timesheets” tab of your portal. For every event that you have attended, you need to create a new item. You can do this by clicking the button that reads “new item”. You will then need to select the activity that you want to submit a new item for (please note that the drop-down box will only display activities that you have been accepted to work on). Once you select an activity you will need to fill in the details. Please note that the Dates and Times worked are pre-filled with the Activity Start and End Time. If you change any of these times, you will need to give a reason. Any changes that have not been explained will not be authorised.

Once you have added all your items, please click on “generate timesheet”. The items will now appear under the “submitted” tab and will be moved to the “approved” tab once approved.

Expense claims are submitted in a similar way on the "Expenses" tab.

Ambassadors are paid a month in arrears, which means that you are paid for work at the end of the following month.  You will be paid on the last working day of the month, so for timesheets submitted in June, you will be paid on the last working day in July.

Payslips are accessed via Staff Connect using your Kent staff (not student) login details which you were sent shortly after you joined the Ambassador Scheme.

You will have been provided with an ambassador t-shirt and lanyard to be worn when working as a Student Ambassador.  The only exception to this is if you are working for us in the office, in which case the ambassador t-shirt is optional.

Other than this, there is no formal dress code and ambassadors are advised to dress comfortably and suitably for the occasion.

In colder weather, many ambassadors choose to wear layers under their ambassador t-shirt.

HR are able to provide employment references for Student Ambassadors, so you can use the email address of peopleserviceshr@kent.ac.uk in future job applications.

If you have worked closely with a particular member of staff and would like to request a personal reference, you can contact them directly to see if they will provide this for you.

Yes!  Within the Ambassador Scheme, we have a variety of additional roles available that current ambassadors can apply for, such as Lead Ambassador and Outreach Tutor.

These additional roles are advertised according to need a couple of times throughout the academic year.  Opportunities will be sent by email to ambassadors.

Most additional roles require a formal application and interview process, followed by additional role specific training.

In order to drive for work, ambassadors must have the appropriate level of business insurance on their vehicle.  Driving to work opportunities without the appropriate insurance is considered the same offence as driving without any insurance.

As such, we will need to see evidence of your vehicle's business insurance as well as your latest MOT certificate before you are able to drive to work.  Please contact outreach@kent.ac.uk for more information.

Once this is in place,  you will be able to claim for travel off campus, in line with our ambassador commuting allowance policy.  These claims are submitted on your HEAT ambassador portal.
