Planning and Property
The Planning and Property section of the Estates Department undertakes a number of functions in relation to space planning and property management. Whilst its major task is to fulfill the University's space planning function, both at the strategic planning and implementation stages, it also covers a number of property-related responsibilities, as well as managing the department's Facilities Management and IT systems. Space planning and management
We are responsible for all planning in relation to meeting identified school space requirements, including liaison with University senior management, Deans, school and section heads and space users. This includes financial control of the budgets approved annually for refurbishment and redevelopment works to meet these needs.

We record and manage data on school space usage for a variety of purposes including University planning, space charging and TRAC as well as external sector-wide resources.

Teaching space survey
Teaching space surveys are undertaken with the aim of establishing how effectively the University is utilising its lecture theatres and seminar rooms.
The aim of the survey is to examine each teaching room on campus at regular intervals for an entire week during the academic year to enable us to measure usage.
The surveys are conducted in collaboration with the Timetabling Office who are then able to examine the results in order to allocate future teaching space accordingly and identify methods for improving utilisation.
We negotiate leases and other legal agreements with prospective tenants and landlords, appointing legal representatives and managing the relationship with them.
We manage the rating procedures relating to the University's sites and buildings, liaising and negotiating with the Valuation Office Agency in the setting of business rates.
We manage, develop and support the Estates Department's facilities management software (ArchibusFM).
We manage, develop and support the Estates Department's IT systems and web applications.

Although the annual University Room Register provides an opportunity to check, update and return a record of departmental space usage to the Estates Department, it is still necessary to inform us of staff moves or room changes which occur throughout the year. Please use this form for this purpose.
