The Student Record Administration Office is able to provide the below services to our Alumni community.

Alumni status letter

An alumni status letter confirms the following information:

  • Full name (as noted on your student record)
  • Date of birth
  • Course title
  • Registration date
  • Completion date
  • Degree classification (if applicable)
  • Graduation date (if applicable)
  • That the course was taught in English

You can order a status letter online at a cost of £10 each. Status letters are supplied on special hologrammed and tamper-proof security paper. Document requests can take up to 30 working days to process. It is University policy not to provide a status letter for a student that is still in debt to the University.

Degree certificates

View your certificate online

Graduates of the University of Kent (from July 2012 onwards) are able to view their certificate and send a secure access link to third parties via Graduate Documents.

Please visit Digital Certificates using Google Chrome or Internet Explorer.

  • Click on the ‘Candidate’ link and if registering with the system click on the ‘Register’ button under Candidate Register
  • Once you have set up your account, you will be able to login using your email address and selected password
  • Once you have clicked the ‘Register’ link you will be asked to complete some mandatory fields to set up your account
  • Once you are logged into your account, there are two main areas to access:
    • ‘My qualifications’ to view and print your qualifications data or view your degree certificate and eHEAR
    • ‘Authorise third party’ to allow third parties to view your data for reference purposes.

Replacement certificates

A replacement degree certificate may only be requested if the original has been lost or destroyed (there can only ever be one degree certificate in circulation at any one time). You can request for a replacement certificate online at a cost of £20, which can take up to 30 working days to process. Please note it is University policy not to provide a certificate for a student that is still in debt to the University.

Authenticate a copy of certificate

You can request an authentication of a degree certificate online at a cost of £6, which can take up to 30 working days to process. After purchasing this, you need to provide a scanned copy of your original degree certificate to csao@kent.ac.uk.

Transcripts & Higher Education Achievement Report

What is the difference between a transcript and a HEAR?

Transcripts are an official record of a student's academic achievement whilst studying at the University and include a breakdown of all modules taken and results attained for a specific programme of study. 

The Higher Education Achievement Report (HEAR) provides a single comprehensive record of a student's achievements, including verified extra curricular activities, prizes and employability awards, voluntary work and offices held in student union clubs and societies. How do I request a transcript?

If you attended the University of Kent prior to 1995, your archived marks may not be available. Please contact us before buying a copy of your transcript, including your full name at time of study, date of birth, dates of attendance and course title.

Alumni can request official transcript copies or replacements online at a cost of £10 each, which can take up to 30 working days to process. Third party applications will not be accepted. Official copies are supplied on hologrammed and tamperproof security paper, with the University validation stamp and name of the authorising officer.

How do I request a Higher Education Achievement Report (HEAR)?

Undergraduate students who graduated between 2014 and 2020 or Postgraduate (Taught) students who graduated between 2016 and 2020 will have been issued a HEAR along with their degree certificate. HEAR certificates are currently unavailable to students who graduated from 2021 onwards.

Your HEAR can also be found online and sent securely to third parties via Graduate Documents. Please visit Digital Certificates using Google Chrome or Internet Explorer.

Please note that online HEAR documents will not be available to graduates from 2021 and onwards.

Qualifications (Higher Education Degree Datacheck)

We offer a Higher Education Degree Datacheck (HEDD) online verification service for employers and agencies to verify University of Kent awards.

How to register

Third parties will need to register with HEDD, selecting University of Kent from the list of UK Higher Education institutions and choosing the option to 'Verify a degree award'. This service is provided at a cost of £12 per enquiry and has a 20 day turn around time. Third parties will be required to upload a consent form.

Making an enquiry

Third parties will need to provide:

  • the individual's name
  • the individual's date of birth
  • the individual's course
  • the individual's qualification  
  • the individual's year of graduation (if applicable)
  • the individual's degree result (if applicable)
  • to request dates of attendance  (if applicable)

Apostille (authorising documents for use in non-EEC countries)

Apostille (also referred to as Apostille of Hague Accords) is a stamp or adhesive label, signed by the UK Government Foreign & Commonwealth Office (FCO) and applied to a signed legal or government document or commercial contract. It is internationally recognised as a means of verifying the authenticity of official documents.

How to get an Apostille

Apostille enquiries relating to transcripts or degree certificates are occasionally received from students from (or wanting to work/study in) non-EEC countries.

The University does not provide an Apostille service and students should contact the FCO Legalisation Office.

Subject Requirements, previously known as handbooks or programme rubrics, contain general information about selecting modules and the requirements for each degree programme of study and module outlines.
