Student Society - Autumn Term Room Bookings
Flat Floor Spaces.
There is a new form for requesting a flat-floor space. This is managed directly by Kent Union.
Societies who require a flat floor space for autumn term 2018-19 should submit the request using the form on the Kent Union website.
The flat floor booking form will be live on the Kent Union website https://kentunion.co.uk/activities/booking-spaces opening on Friday 24th August and closing at midnight on Sunday 2nd September. The standard student group booking form will open as the flat-floor closes, so opening on 03/09/18 at 00:00:01 hours. These spaces are in high demand and Kent Union will allocate spaces to ensure that fair access is achieved.
Student socieities wishing to book centrally timetabled space for their events can make submissions using the student society booking form from Monday 3rd September 2018. Bookings can only be made for dates up until 6pm Friday 14th December 2018.
Access to both forms is based on a list provided by the Student Activities Centre, if you don't have access and should do, please contact them.
All student society bookings are subject to the society terms and conditions.
External Speaker Process. If an event will have an outside speaker, approval must be sought from Kent Union prior to submitting a room booking. Allow at least THREE weeks' before your event. Speaker approval may take up to 2 weeks and at least 1 week's notice is required by the Timetabling Office to process a room booking request. DO NOT make a room booking request until approval for the speaker has been received. Contact email@example.com  giving the following information.
- Name of the speaker
- Organisation they represent
- Subject of the discussion
- Any available web pages or other information to support the request.
- You will be advised by email when a decision about the speaker has been made. Once approval has been granted a room booking request can be made using the Societies Booking Form .
Society booking list
Authorised members of a society can also access an online booking list showing the bookings the society has made through the Timetabling office. The list updates overnight and does not show any outstanding or uncomfirmed requests or any bookings made for space not controlled by the Timetabling office.
