Knowledge Exchange and Innovation is a professional services department within the University of Kent that promotes the expertise of the University to commercial and non-commercial organisations for the purpose of partnership and project development. The department also supports the entrepreneurial and employability activities of students and staff.

What information do we collect?

For the purpose of this privacy notice, “personal data” is defined as data which identifies an individual.

The type of personal data we may collect from you includes (but is not limited to):

  • title (e.g. Mr, Miss, Mrs)
  • full name
  • contact details including address, email address and phone number
  • details about your occupation including employer, job title
  • your professional interests, activities and areas of expertise
  • communication preferences
  • details about your interactions with us

We make use of a variety of applications to help us manage and analyse our activities. On some occasions, we make use of the MailChimp email marketing platform to manage our communications with you. The information we collect may include response metrics such as open and click-through rates and subscription preferences.

We also make use of the electronic signature tool DocuSign to gain signatures on contracts.

How do we collect information?
We undertake a variety of activities which may allow us to collect personal information from you. Some of the ways we collect information includes: our website contact form, social media engagement, exchanging business cards, registering for events and contracts for projects.
We make use of a number of online services to collect information including:

  • The University’s online store
  • Public sources of information about Organisations including Companies House, Charity Commission, Credit Safe and Organisation websites
  • Public sources of information about individuals including LinkedIn (connecting with contacts)

How we use your information
We process your personal data under the following lawful bases:

  • Where you have consented for us to use your personal data
  • Where it is necessary for the performance of a contract
  • Where we have a legitimate interest in handling your personal data

The specific purposes for which we use your data include:

  • For business relationship purposes including:
    • Newsletters about our activities
    • Invitations to events
    • Information about partnership opportunities
  • For administrative purposes including:
    • Processing of project contracts and agreements
    • Course and event registrations
    • General correspondence
  • Managing client relationships
    • Where appropriate, storing your information within our database of contacts (CRM system)
    • Recording your contact preferences including how you would like to be contacted (email, telephone, post) and the types of communication you would like to receive from us.
  • Website analytics and Cookies
    • Most pages on the University of Kent website contain cookies. We make use of cookies and Google Analytics to track the effectiveness of our webpages. The type of visitor information collected may include IP address, location, browser type, referral source, length of visit, number of page views. How we share your information
Information we hold on you may be shared internally for the following purposes:

  • with investigators, partners and/or collaborators on projects
  • with administrative staff which may include: processing of course and event registrations; invoicing
  • with other University departments depending on the activity for example courses, and projects
  • Alumni information is shared with the University’s Development Office for Alumni relations and support

How we protect your information
Every effort is made to ensure that all data we hold in both electronic and paper formats are stored securely and only accessed by persons who need to access the information.

We will never sell your personal data to third parties.

You have the right to request access to data we hold about you. Please contact us with your request.
