Visa reimbursement

The University of Kent appreciates visa costs can be high and as such will reimburse fees incurred whilst making a Tier 2 (General) visa application to enter the UK prior to employment commences or a Tier 2 (General) visa extension application (where necessary) whilst employed.

Visa fees will be covered by the relocation policy or by central funding allocated for such costs.

New staff - initial visa application

    Which fees can be reimbursed?

    • You are able to claim reimbursement if you have applied for a Tier 2 (general) visa.  Fees incurred under all other visa categories cannot be claimed.
    • Fees cannot be claimed for dependants.
    • Reasonable additional fees incurred as part of your visa application may be claimed.
    • Visa fees incurred are deemed to be an ‘initial travel expense’ and therefore are not a taxable benefit.
    • The Immigration Health Surcharge may not be claimed.

    How can I claim?

    You are required to pay for any expense incurred at the time of making a visa application.  Once you have commenced employment with the University of Kent, you can submit your claim.

    Where applicable, visa fees should be claimed through the relocation policy (those who have to move to the vicinity of a University Campus to a post, which is tenable for two or more years).  For further guidance and eligibility criteria please refer to the University of Kent Relocation Policy.

    If your contract is tenable for less than two years or you are currently resident in the vicinity of a University Campus, please provide evidence of your visa payment (online receipt or similar) to the relevant HR Co-ordinator who will process your claim via the University Payments Office. back to top

Existing staff - visa extension, variation or settlement application

Which fees can be reimbursed?

  • Fees can be claimed for applications made to extend or vary your Tier 2 (General) visa, or to apply for settlement once you have held your Tier 2 visa for 5 years.  UK Visa & Immigration rules apply and eligibility requirements must be met.
  • Fees cannot be claimed for dependents.
  • The standard postal application cost can be claimed.  Additional fees incurred such as priority service, biometric residence permit and postage cannot be claimed.
  • Visa fees for existing staff are deemed, by HRMC, as a taxable benefit.

How can I claim?

  • Please provide evidence of your visa payment (online receipt or similar) to the HR Immigration Adviser who will process your claim via the University Payments Office.
  • The University reserves the right to refuse any claim for visa expenses which is deemed unreasonable or inappropriate.

When a claim may not be processed

  • The University reserves the right to refuse any claim for visa expenses which is deemed unreasonable or inappropriate.
  • The University reserves the right not to refund visa fees if you are offered an appointment and subsequently reject it after your visa application has been made.
  • The University is able to reimburse the cost of settlement or indefinite leave to remain applications, however we ask that you plan to remain employed with the University for the foreseeable future
