Human Resources - Information for Managers

References

All appointments are conditional upon receipt of satisfactory references covering at least the last three years of employment. For academic and research staff we require three references which include the most recent or current employer, and a satisfactory employment confirmation from the current employer.

References are obtained by HR via DocuSign® and forwarded to the Hiring / Line Manager who will then confirm if they are satisfactory. Checks should be carried out using the reference checklist, guidance for which can be found in the Employment References Policy and Procedure. For academic staff, references are usually requested by the Resourcing Adviser prior to interview and automatically sent to the panel.

Academic: References are usually taken at interview stage and consist of three references, one of which must be from the candidate’s most recent/current employer.

Grades 7-9: References are not approached until the offer stage unless specifically requested by the panel. References must cover at least the last three years of employment.

Grades 1-6: References are not approached until the offer stage. Panels may ask for references to be contacted prior to the offer being made. Please note, however, referees are not legally required to provide a reference and when they do, the amount of time they take to reply to the request can be lengthy. This will inevitably affect the start date of the candidate.

Qualification Checks

New recruits will be required to upload certificates to prove the qualifications listed on their CV / application form via DocuSign®. Hiring / Line Managers will need to confirm via DocuSign® that these are satisfactory and sufficient against the CV, application form, job description and person specification, with guidance from the reference checklist which can be found in the Employment Reference policy and procedure.

Please note that DocuSign® emails from the University will have 'University of Kent' in the email subject title and have our logo in the body on the email.
