Open-access student PCs on campus can be accessed using a Kent IT account. Some academic schools/departments also offer PCs for use by their students only.

Map a network drive to access your files

You can access your files on the Kent network from on or off campus (eg, your home folder on student PCs: 'my documents' or 'my files'). You can use your own PC or a University PC to access any folder on the Kent network that you are authorised to access.

If using your own computer, you need to connect to the Kent network first, either via the wireless service or the VPN service. Then you need to map a drive on your PC to the required folder:

Take screen breaks: lock the PC and take your stuff

To safely take comfort breaks or leave your student PC unattended
  • you can lock the PC for up to 20 minutes by activating the 'take a break' utility (on the desktop). This ensures that nobody else can log you out to use the PC themselves, or access the PC using your account while you are gone.
  • Make sure you save your work before you go as the computer will automatically log you out after 20 minutes (and unsaved work is lost). Be aware that for security reasons and to free up study space for others, student PCs found unattended will have 'take a break' activated on them by Library staff.
Don't leave your possessions unattended or your student PC unlocked

Is it worth the risk of:

  • having your stuff stolen?
  • losing your work?
  • having your account hijacked by someone else?

Remember that you are responsible for all activity on your IT account, and breaches of the IT regulations can have serious consequences.

Look after yourself

You should try to take time to re-energise your body and mind with a short break approximately every half an hour. A refreshed state after a break is often more receptive to learning and creativity. Breaks also reduce the risk of repetitive strain injury and eye strain. 

Save to a USB memory stick on a windows computer

  • Plug the memory stick into the USB port on the PC (usually found at the back of a PC or laptop, sometimes at the side or front under a flap).
  • Click Start, My Computer (Computer in Windows7 or Vista). Your memory stick is viewable in a folder called Removable Disk.
  • To save to it from any Microsoft Office 2007 document, click the Office button, click Save As, then browse to My Computer and select Removable Disk.

To prevent damage ensure you remove the device safely:

  • Ensure that all files saved on to the device are closed, and the applications that were used to save onto the device are closed.
  • Click on the Safely Remove Hardware icon (represented by a green arrow above a grey box) in the taskbar (in the far bottom right of your screen).
  • A window appears telling you how to remove it safely: once you have done as instructed you should see a message telling you that it is now safe to remove your USB memory stick.

Save documents using a Student PC

Microsoft Office programs will prompt you to save files to your Documents folder by default.

To access your Documents folder from a student PC on campus:

  • click Start/Windows orb, then Computer
  • find and open the folder containing your Kent username (eg, abc1 on 'bodiam\Cur)
  • find the My Files folder - this is your personal, password protected area of the network.

Add extra course or departmental software to a student PC

The start menu on student PCs includes PowerPoint, Word and Excel. To add or upgrade additional departmental software, click the Add Additional Software icon on the desktop.

Installation can take several minutes, so it's advisable to add the software you need before attending any classes.

Use PCs at the Medway campus

Login to the Kent student PCs located within the Medway and Gillingham buildings, using your Kent IT account details. You can also login to Drill Hall Library PCs with your Kent IT account.

To use Greenwich PCs at Medway, you will need to login using a Greenwich IT account.

Learn about Favourites in Internet Explorer (School of Pharmacy students)

  1. Log in with your Greenwich account on a Drill Hall Library or Greenwich PC on the Medway campus.
  2. To export your favourites to a file:
    1. Using Internet Explorer, click File, Import and Export, and follow on-screen instructions to save the file as bookmark.htm (save to a memory stick or choose a location that enables you to email the file to yourself so that you can access it from a different PC/using your Kent login details).
  3. Log in using your Kent IT account details to a PC in the Drill Hall Library or a Kent PC in the Gillingham or Medway buildings.
  4. To import the file into Internet Explorer:
    1. save the bookmark.htm file to the PC. Open Internet Explorer, click File, Import and Export, and select the bookmark.htm file.

Check your username is entered correctly

Usernames consist of initials and a number eg abc1.

  • Use the abc1 format to log on to Student PCs, the Student Data System, Moodle, the Student Portal and Kent Union (members only - email kuonline@kent.ac.uk if you can't login, or sturec@kent.ac.uk to join).
  • Use abc1@kent.ac.uk to connect to Kent's Wireless Service.
  • Use abc1@kentforlife.net to sign in to Live@edu (abc1@kent.ac.uk for current students who started before 1 April 2012).
  • Use ukc\abc1 to log on to Medway student PCs, and for accessing some services when off-campus.
Enter your password correctly
  • Your password is case-sensitive: ensure the CAPS LOCK key is off when typing.
  • Check that your keyboard is entering the expected characters by typing your password into a text editor such as Word (just check that nobody is looking over your shoulder as you do this). Mac keyboards or non-UK keyboards may need checking.
Change your password

Try changing your password as it may have expired. Also try this if you can log in to some systems and not others, eg: if you can get into Moodle but not your email account.

Forgotten your password?

Students: use the password reset service [10].
Staff
: contact the helpdesk [11] with your staff number (from your KentOne card or payslip); if you do not have it to hand, you can nominate a more senior member of staff to verify your identity (please ask their permission and then give their details to helpdesk).

 


Windows 7 and Microsoft Office 2010

The Start menu is different in Windows 7

The Start menu looks different in Windows 7 but still allows you to open programs in the same way. In addition, it has a search box allowing you to easily search for documents or programs.

You can pin a program or file to the Start menu so that it can always be easily accessed from there:

  • Click start and locate the relevant program
  • Right-click on the program icon
  • Click Pin to Start menu

Change the order of menu items simply by dragging them around.

The Taskbar is different in Windows 7

By default, Windows 7 combines multiple instances of the same program into one taskbar item. For example, if you have three Internet Explorer windows open, you will only see one 'e' icon in the taskbar (hovering over the icon shows a preview of all three windows, allowing you can select the one you wish to view). 

You can choose whether the taskbar shows one icon (default) or multiple icons for each instance of an open program:

  • Click Start > Control Panel > Appearance and Personalization
  • Click Taskbar and Start Menu
  • Within Taskbar appearance, select the appropriate option
  • Click OK and choose one of the following options: 
    • Always combine, hide labels
    • or, Combine when taskbar is full
    • or, Never combine
    For small icons, select the Use small icons checkbox.

You can change the order of icons in the taskbar simply by dragging them around.

Pin a program to the Taskbar

Pinning a program to the taskbar gives you easy access to that program whenever you like:

  • Click Start > All programs
  • Right-click the relevant program
  • Click Pin this program to taskbar

Get Microsoft Office for home use

Staff can buy a copy of Office 2010 or Office 2007 at a discounted rate of £12.50 (for a "per machine" copy; staff are only licenced to use it whilst working at Kent) from Welcome Desk, Templeman Library main entrance, Canterbury campus (you will need to show a staff card). Your PC or laptop requires either Windows 7, Vista or Windows XP (with service pack 2 or 3).

Access files created in a different version of Office

Microsoft Office 2010 and 2007 can open documents saved in earlier versions of Office programs.

Note that Microsoft Word 2003 can't open documents saved in newer versions, unless:

  • the Office 2003 user has an Office file format converter on their PC (on a Staff Managed Desktop this is already installed
  • or, the file created in the newer version was saved as "Word 97-2003 format" (by clicking File > Save As and selecting the Word 97-2003 format from the list).

Those currently using Office 2007 will find that Office 2010 has a very similar look and feel.

Those using Office 2003 will need to adjust to the 'Ribbon' in Office 2010 programs, that replaces the previous menu-based interface.

Create, edit or run a presentation with PowerPoint 2010

To open PowerPoint 2010 on a Student PC or Staff Managed Desktop (running Windows 7):

  • click  Windows Orb (Start), then choose All Programs > Microsoft Office > Microsoft PowerPoint 2010.

Create a presentation
  1. Click the File tab, then click New.
  2. Click Blank Presentation, then click Create.
  3. To insert a new slide, click the Home tab, then from the Slides group click the arrow below New Slide and choose a slide layout.
  4. To save your presentation, click the File tab, then Save As.
    If you want to be able to open your presentation in older versions of PowerPoint, click the Save as type list, then select the required file format.
Open a presentation for editing
  1. Click the File tab, then click Open.
  2. Locate the presentation in the Open dialog box, click on it, then click Open.
Run a presentation
  1. Click the Slide Show tab, then from the Start Slide Show group, click From Beginning.
  2. To move forward a slide, press the Enter key. To move backwards, use the Backspace key.
  3. To exit the presentation, press the Esc key.

View printing costs

Printing to student printers is paid for by credits at the rates given below (1 pence = 1 credit). The minimum payment is £1: most print credit machines only accept £1 and £2 coins.

  • Black and white A4 duplex (double-sided): 10p (10 credits)
  • Black and white A4 simplex (single-sided): 5p (5 credits) per side
  • Black and white A3: 10p (10 credits)
  • Colour A4: 20p (20 credits) per side
  • Colour A3 40p (40 credits) per side
  • Colour OHP slide: 80p (80 credits)

There is a 200 credit overdraft facility.

Install a printer on a student PC or a PC running Windows 7/Vista

How to install a Kent networked printer on a student PC, or any PC with Windows 7 or Vista:
  1. Click on the Start/Windows Orb icon in the bottom left of your screen.
  2. In the Start Search box type printers and press the Enter key.
  3. Click Add a Printer (near the top of the Printers window).
  4. Click Add a network, wireless or Bluetooth printer in the Add printer window.
  5. Click the Stop button to stop it searching for printers (Vista only).
  6. Click The printer that I want isn't listed.
  7. Choose Select a shared printer by name in the Find a printer by name or TCP/IP address box, and enter the server name and printer name of the required printer in the following format:

    \\printserver2.kent.ac.uk\gill2
    replacing server and printer details as appropriate (check student printer names and locations if not sure)
  8. If asked for a username, enter your IT account username in the format ukc\xyz1 replacing xyz1 with your details.
  9. Click Next. Windows will now try to connect to the printer. If you see a message asking you to install a driver, click install driver.
  10. Click Next in the Type a printer name box (Vista only).
  11. Click Finish in the You've successfully added... box.
  12. The printer will now appear in the Printers window and is ready to use.

How to print on one side of a page (single-sided)

Student printing comes out double-sided by default, but you can change to single-sided if required.

For Microsoft Office 2010 documents:
  1. From the File tab, choose Print.
  2. On the print window, under Settings, change Print on Both Sides to Print One Sided.
  3. Click the large square print button at the top left of the print window.

Instructions vary depending on the software being used. Generally the option to print single-sided can be found by accessing Properties or Preferences within the print dialog box that shows when you instruct an application to print.

  • If using Drill Hall library PCs at the Medway campus, you can simply select the queue for your printer that is associated with the printer that is single-sided, ie BW08 not BW08_Double-sided.

Login to your print account and view or buy credits

Printing and photocopying are paid for using print credits, which are stored against your Kent IT account.  However: you cannot use your KentOne card to pay for printing.

Install a printer on Mac OS X

Please note: problems may occur when printing from Mac computers to the University's windows-based print system. You may wish to use web-based printing instead - for more details refer to the Web-based printing FAQ.

How to check which version of OS X is on your Mac
  1. Click on the Apple icon in the top left of the screen and select the first option, About This Mac.
  2. On the About This Mac box that pops up, the version number is directly beneath the Mac OS X title.
Instructions for Mac OS X version 10.7

These instructions are provided on a best efforts basis and Helpdesk may not be able to offer specific support.

  1. Click the Apple menu (top left of screen), and select System Preferences.
  2. Click the Print & Fax icon, then click the + button on the left of the window. 
  3. Click the Advanced button in the toolbar (if this is not visible, hold down the Ctrl key, click on the toolbar, click Customize Toolbar, then drag the Advanced button to the toolbar and click Done). 
  4. When the drop-down menus become available (this may take a minute):
    - select Windows Printer via Spoolss from the Type drop-down menu
    - in the URL box, enter smb:// followed by the server name and printer name of the required printer in the following format:
    smb://servername.kent.ac.uk/printername for example smb://printserver2.kent.ac.uk/gill2 (where printserver2 is the server name and gill2 is the printer name) (check student printer names and locations if not sure).
  5. In the Name box, enter the name of the printer eg gill2.
  6. You may wish to fill in the location of the printer to remind you where it is. 
  7. In the drop-down list Print Using, select the make and model of the printer. If it is not listed, either select Generic PostScript Printer or download the model of printer from http://support.apple.com/kb/dl907 (HP printers) or the manufacturer's website (other printers).
  8. If the printer has duplex unit, tick duplex to enable double-sided printing. Enable other printer options as required, then click OK.
  9. Click Add. Close System Preferences.
  10. Open Terminal, either by typing Terminal into Spotlight, or from Applications, Utilities.
  11. Type the command sudo lpadmin -p gill2 -o auth-info-required=username,password replacing gill2 with the name of the printer you want to use, and press enter. Note: do not replace the words username and password.
  12. When prompted to enter a password, enter the password for your computer (not your Kent password).
  13. When you print a document you will be prompted to login: use your Kent IT account details.
Instructions for OS X versions 10.6 and 10.5
  1. Click the Apple menu (top left of screen), and select System Preferences.
  2. Click the Print & Fax icon.
  3. Click the + button on the left of the window.
  4. Click the Advanced button in the toolbar
    (if this is not visible, hold down the Ctrl key, click on the toolbar, click Customize Toolbar, then drag the Advanced button to the toolbar and click Done).
  5. When the drop-down menus become available (this may take a minute):

  6. In the Name box, enter the name of the printer eg Gill2
  7. You may wish to fill in the Location of the printer to remind you where it is.
  8. In the drop down list Print Using, select Generic PostScript Printer.
  9. Click Add. Close System Preferences.
  10. When you print a document you will be prompted to login: use your Kent IT account details.

Install a printer on a PC running XP

How to install a Kent networked printer on a PC running Windows XP:
  1. Click Start, then Printers and Faxes (if this option is not visible immediately, clickSettings, Control Panel, then Printers and Faxes).
  2. Click Add a Printer from the left-hand menu
  3. Click Next to continue.
  4. Choose to Add a Network printer and click Next.
  5. Select Find a printer in the directory and click Next to continue.
  6. Select A network printer, or a printer attached to another computer and click Next
  • From a student PC or staff managed deskop, select Find a printer in the directory and search:
    By name: type the name (for example, gill2) into the name box and click Find Now.
    By location: for example, type 'Library' in the location box and click Find Now.
    Click once on the required printer to select it, then click OK.
  • From your own PC, select Connect to a printer on the internet or a home/office network and enter the server name and printer name for the required printer in the following format:

    \\printserver2.kent.ac.uk\gill2
    replacing server and printer details as appropriate (check student printer names and locations if not sure)
  1. If asked for a username, enter your IT account username in the format ukc\xyz1 replacing xyz1 with your Kent IT account username.
  2. You will be prompted: Do you want to use this as the default printer?
    Select Yes or No (the first printer installed is set automatically as the default).
  3. Click Finish. You may see a dialog box appear, warning you that printer drivers are about to be installed. This can be ignored.

A common problem is not putting 'ukc\' in front of the username during the install a printer process.
Printing from Mac OS X is a bit hit and miss.

Web-based printing for your computer, mac or mobile device

Send documents (Microsoft Office, Microsoft XPS and PDF formats only) to University of Kent printers in Student PC areas, from any computer or mobile device with an internet connection. There's no need to install print drivers.

Note that web-based printing is subject to the usual printing costs. This service is not currently available for iPhone or iPad.

  1. Browse to http://printing.kent.ac.uk* and log in with your Kent username eg (abc1) and password.
    *If you are off-campus, use https://printing-kent-ac-uk.chain.kent.ac.uk instead.
  2. On the next page, click Web Print in the left-hand menu.
  3. On the Web Print page, click the Submit a Job link.
  4. On the next page, click the button next to the printer that you would like to send your document to, then scroll to the bottom of the page and click the Print Options and Account Selection button.
  5. On the Options page, change the number in the text box if you require more than one copy. Then click the Upload Document button.
  6. On the next page, click the Browse button and choose the document to be printed from your computer or mobile device. Then click the Upload & Complete button.
  7. The next page shows the status of your print job. When your document has been printed the status will contain the word Finished.
  8. Collect your print-out from the printer.


If the printer you want to use is not available for web-based printing, or if the document you want to print is not Microsoft Office, XPS or PDF format, you should install a print driver on your computer or print from a campus Student PC instead.


International language support

How to reset the input language back to English on a student PC

  1. Open Language bar (if you're not sure how to do this, see the FAQ 'How to open the language bar on a student PC').
  2. Click the language shown on the language bar and choose English.

How to change the input language to Chinese (Pinyin) on a student PC

  1. Open the application that you will be using to type (eg Microsoft Word).
  2. Now open Language bar (if you're not sure how to do this, see the FAQ 'How to open the language bar on a student PC').
  3. Right-click on the language bar and choose Settings - the Text Services and Input Languages dialog box will appear.

  4. In the dialog box, under Default input language, change the drop-down to Chinese (Traditional) - New Phonetic 2010, then click Apply.
  5. phonetic then click Properties. The Microsoft New Phonetic IME 10.x Settings dialog box will appear.
  6. In Microsoft New Phonetic IME 10.x Settings, click the Keyboard tab.
  7. In the drop-down under Choose your preferred keyboard layout, choose HanYu Pinyin and click OK.

  8. In the Text Services and Input Languages box, click Apply, then click OK. (If you can't see this box, click the Language bar icon on the left of the taskbar at the bottom of the screen.)
  9. On the language bar, click on EN English (United Kingdom) and change it to CH Chinese (Traditional).

Now, when you type the text should automatically change to the equivalent Chinese characters.
Note: language settings may reset to English when you open a new program. You may need to repeat the steps above for each program you want to use.

How to change the input language on a student PC

Note: If you want to use Chinese (Pinyin), see the FAQ 'How to change the input language to Chinese (Pinyin)'.

To change the input language on a student PC:

  1. Open Language bar (see the FAQ 'How to open the language bar on a student PC').
  2. Click the language shown on the language bar and choose a new one from the options shown.

How to open the language bar on a student PC

You can use the Microsoft language bar to change your keyboard layout, or type in a different language.

To open the language bar on a student PC:

  1. Click on the desktop icon marked Language bar.
  2. In the taskbar at the bottom right of the desktop click EN then select Show the Language bar.
  3. You should now be able to see the Language bar at the top of the screen.
