Student finance guide 2012/13

Organise and plan the payment of your tuition fees, accommodation fees and any other fees that you may be required to pay to the University by following the links below.

University regulations governing the registration of students and the information contained within this guide sets out what the University expects of you in terms of the payment of fees.

As a student of the University you are required to pay tuition fees for each year of your course.

Under the University regulations, tuition fees are due in full at the start of each academic year or at the start of your course, whichever is the later.

Tuition fee invoices for all courses will be emailed to your University email address.

If you are applying for funding from Student Finance England then please keep a copy of your financial notification to hand in case we need to refer to it.

How to pay

Payments can be made in full at the start of each academic year. If payment is received by 31st August 2012, a 2% early payment discount can be deducted from the payment.

Making a payment

  • The University will accept bankers drafts and bank payments payable to University of Kent, however personal cheques will no longer be accepted.
  • Cash will only be accepted at the University Income Office - please do not send cash by post.
  • Please ensure that your full name and student number are quoted on all payments.
  • The University bank details can be found on the finance website.

Tuition fees can be paid in two equal instalments. The first payment is due on or before registration and the final payment is due by 1st December 2012

The instalment plan is available only for payment by debit/credit card through the University web payments system

If your fees are being paid by a sponsor (a private company or other organisation) not parents/relatives or Student Finance England, please print and complete the form from the finance website and return it to the Income Office with a confirmation letter from your sponsor on company/organisation headed paper.

Please note that the University does not issue invoices for accommodation fees. You will be issued with an accommodation agreement when you accept your room offer and this will detail the fees due for the year and the dates on which they are due for payment.

Please ensure that you keep this agreement with you or pass on a copy to whoever is responsible for paying your accommodation fees.

How to pay

Please refer to your accommodation agreement for details of the amounts and dates due. If you have paid a £300 advance payment, this may be deducted from your payment for period 1.

Undergraduates residing in self-catering accommodation will be permitted to pay on the first day of each term to allow for receipt of maintenance loans. Payment for the full amount due for the term must be received on the dates quoted on the accommodation agreement.

Other charges

Information

Other charges such as master's fines, room transfer fees, late payment supplements or other miscellaneous charges will be added to your student account as they arise during the year. These charges must be settled in full immediately. Library and parking fines should be paid online in accordance with each departments instructions.

How to pay

Payment for these charges are due immediately upon issue and can be paid at the Income Office in person by cash, debit/credit card or over the telephone by debit/credit card, by bank transfer or through the web payment system.

Financial difficulties

If at any stage during the year you experience any financial difficulties please call into the Income Office as soon as possible to discuss the matter with a member of staff.

  • The Student Union have trained advisors available to discuss any financial issues students may have.
  • The Financial Aid Office can provide information to home and EU students
  • The International Office can provide information to international students from outside the EU

Other financial information

Loyalty discount

The University is pleased to announce that it has decided to recognise the family and personal loyalty shown by registration on multiple degrees by siblings, children of alumni, husband and wife studying together or alumni studying for additional degrees when privately funded.

A discount of 10% of the first year’s tuition fee will be allowed to those students who meet the criteria set out on the finance website.

Non-payment of fees

If fees are not paid within the given timeframes, students will be deregistered and will be deemed withdrawn without any further opportunity to study, unless permitted to intermit by the department/faculty, and return at a later date. The deregistered student will have no recourse to University resources including accommodation and all email and access requirements.

Late payment supplements of 1.5% of the outstanding balance may be added to unpaid accounts and there will be a charge for declined instalment payments.

Withdrawing from your course

If you have paid your tuition fees, upon withdrawal, you may be entitled to a refund based on the following rules of withdrawal. The first four weeks of term one is considered as the "settling in period" and any student withdrawing within this times will not be charged tuition fees within this period. Following this period, fees will be reduced on a time aportioned basis. This is dependent on how your fees are paid:

For student loan company sponsored students, due to the changein the funding, a revised policy on the calculation of the refund is currently being authorised and will be published soon.

For all other students, fees will be calculated on the number of months completed, pro-ratared against total months allocated to the year.

Accommodation fees

If you are withdrawing from your course you will also need to inform the Accommodation Office

Accommodation fee refunds are at the discretion of the Accommodation Office and are subject to the details given in your accommodation agreement.

Home/overseas appeals

If you do not agree with your home/overseas status you will need to make an appeal against this decision.

For new students, who have not already been assessed or registered on their course, please contact Dr Phil Shore in the Information, Recruitment and Admissions Office.

If your home/overseas status has already been assessed by the University, please contact the Student Financial Aid Office.
